Standard E-Billing Formats:

By utilizing the most-common electronic billing formats, under the LEDES (Legal Electronic Data Exchange Standards) board-ratified standards means that the technical entry costs for law firms is virtually zero. By ensuring ease of use and providing convergence with the law firms' time and billing systems submitting an e-bill into the Advocator System® couldn't be simpler.

The Advocator System® includes an Invoice Creation Tool and LEDES Converter module to further assist law firms in setting up for the requirements of electronic billing.

The workflow is straightforward. While in the E-Billing Desktop, click on "Submit New Invoice" and (using the windows folder browse feature) locate the invoice file you wish to upload, then press "Submit". Single invoices or multiple electronic bills may be uploaded during the submission process.

Automated Invoice Validation Checks:

The Advocator System® will automatically identify any potential errors and omissions including, but not limited to, mathematical errors, incorrect billing rates, or duplicate entries. It can also correct these for the user during the submission process.

The E-Billing workflow and processing can be configured to suit the client's requirements. Any number of checks and balances may be utilized in the initial invoice review process which is flexible and very powerful.

Billing Guideline Compliance Measurement:

Should the Advocator System® software be configured to allow for compliance monitoring against the client's legal spend management or litigation management guidelines, it will prompt the law firm users to resolve any potential e-billing inconsistencies or unclear descriptions.

In the Resolution Desktop, the bill reviewer and the law firm user are able to work on an interactive platform to resolve any potential billing issues before they are presented to the client for final review, payment approval, and processing. Furthermore, the Invoice Status is available for review at any time by the law firm users, in order to track where their invoices are in the process, such as "submitted", "under review", "approved" and "paid". Sorting and filters help the user to track their invoices through the various steps in the process, from initial invoice submission through to receipt of payment.

Legal and Non-Legal Vendors:

The Advocator System® accepts e-billing from legal and non-legal vendors. For non-legal vendors, an online "Vendor Management Portal" is provided, in order that all expenses or costs associated with the matter may be managed consistently within a single database repository.
